INSTRUCTION FOR CREATING NEW PROJECT

By creating project, you can have more opportunities to bring their documents to suitable, trustable and professional translators with reasonable prices.

After logging in your account, please follow this step-by-step instruction to create your own project:

Step 1:

Click on module “Create project”, fill all required information in the form display on this interface. Finish the first step by clicking on “Create” after reading and agreeing with our terms and regualations.

Step 2: Upload documents

Click on “Choose file” to upload your document.

If your project consists more than 1 file, select “Add more” to upload all of them at the same time.

Step 3: Complete the following form to provide us with more information of your document(s)

  • Document name: Name of uploaded document (s)
  • Field: The specific field to which your document related
  • Source language: the current language of your document(s)
  • Target language: the language that you want your document(s) to be translated into.
  • Number of pages: the total number of pages included in your document
  • Working time: The number of days in which you expect to have your document completely translated.
  • Price: the price you offer for translators
  • Pay guarantee fund -> VTCafes will guarantee your project
  • Send guarantee request-> VTCafes will ensure priority for your project when problems or disputes occur
  • No guarantee required: Your project will not be guaranteed
  • Description: Brief description of your document
  • Requirements for translators: The requirements provided in this form will help you, translators and VTcafes to solve any problems in the process of collaboration

Then, click on “Upload” to submit above mentioned information. Back to Step 2 if you want add more files.

Click on “Finish” to complete all the process.

After uploading all documents on the website, project owners should regularly login to track the status of their projects: the number of translators asking to join the project, progresses of the project, ideas and suggestions of translators

Step 3: Click “Update” to finish creating process.

Note:

After uploading all documents on the website, project owners should regularly login to track the status of their projects: the number of translators asking to join the project, progresses of the project, ideas and suggestions of translators

The project owner is responsible for informing the community who have sent request about the translation process of the translator.

HOW TO JOIN IN A PROJECT

After finishing create and upload a project on VTCafes, project manager allow translators to join in their projects based on personal information, register information to of translators and choose a suitable translator to work on their projects.

1. How to ask for permission to join in a project

            To ask for permission, translators have to follow all these steps:

            On the list of project’s interface, translators can see the entire projects that are available on the website and choose a project that they want to join in.

            After choosing a suitable project, click on  to send a request to join in the project:

Fill in information and send:

After sending a request, translators wait for project manager’ acceptation.

2. How to inspect translators’ request

Step 1:

After login to the system, on the username of the project manager choose “My projects” to access to project management. Choose a project need to check the join in request

Step 2:

Choose “Join in request” module, all the join in request will be displayed. Project manager check the information of translators and choose a suitable translator with the project. Click on “Create contract” with the chosen translators:

3. How to create contract

After click on “Create contract”, the create contact interface will appear, project manager enter the price of the contract which is consent with translator click on  button to create a contract:

4. Agree with the contract

 After project manager finishes create project, a notification will be sent to translator. Translator click on the notification then the information of the contract will be shown. If translator agree with the articles of the project and decide to join in click “Agree” to start to work, if not click “Deny” to refuse the job.

 

HOW TO MANAGE PROJECTS (PROJECT MANAGER)

After uploading the project on the website, project manager have to access to the system frequently to manage and supervise their project.

Choose “My projects” module to access to the list of projects and choose one project

Step 1:

  • Manager general information of the project

When there is no contract on the project, on the interface of the general information of the project, the project’s status will be “Open” and project manager can click on  button to edit project document, click  to close the project and click  to delete the project.

When there are any existing contracts, translator start to work, the status of the project will change to “Working”, project manager are not allow to edit the document and delete the project.

Step 2:

  • Working result management

On the project result interface will display all the information of the contract, project manager can:

  • Cancel the contract: While waiting for translator to reply whether they agree with the contract or not and the status of the project is “Wait for responding”, project manager can cancel the contract by click on  on the information of the contract interface.
  •  Exchange with translators: exchange with translators in the comment on the interface.

 

When translator accept to join the project:

  • End the contract: click  to end the contract anytime if there are issues while working with translators, the status of the contract will change from “working” to “complete”. After the contract is finished, the project will change to “Open” and the system will allow project manager to close the project, edit document and delete the project
  • Pay translator: click button  to transfer money for the translators with different payment method.
  • Mark the translators: based on translation result, project manager can mark the relevant point for translator when click on
  • Send liquidate request: Project manager request to liquidate the contract when the  project is finished by clicking on

After receiving translation result from translators, project manager can exchange the idea with translator on the comment section.

Notice: one project manager can only open one project with one translators working on it in one specific amount of time. After the contract is expired, the project can open a new contract.

Step 3:

  • Transaction management

On the trading history interface, project manager can see all the transactions have been made with translators.

Notice: project manager only can see, not add, edit, and delete these transactions.

Step 4:

  • Manage the list of translators want to join in the project

On the join in request, project manager see all the translators want to join in the project. Project manager can sign contract with any translator they want and for the translators, and for the translator is able to create a new contract when the old contract is done or end.

Project manager can exchange message with translators, click on  to start communicating.

HOW TO MANAGE WORK (TRANSLATORS)

After joining in a project on the website, translators have to access to the system frequently to manage their job.

Choose “My work” module to access to the work list and choose a work they want:

Step 1:

  • Contract information management

On the contract information interface, translators can:

  • Check the information and status of the contract.
  • Create conflict:  click button  to create conflict when problem occur while working.  Dispute resolution between both side will last for 5 days, after that if the two parties haven’t solve the problem yet then VTCafes system will solve the problem and the two parties have to pay for this service.
  • Download project document: choose function  to download the translation document of the project.

Step 2:

  • Translation result management

On the “Project result” interface, all the information of the contract, project manager can:

  • Upload result file: on the result information form interface, translators fill in the information [1] and click on  [2] to upload the file.
  • Exchange with project manager [3]: exchange idea with translators on the comment section in the interface.

Step 3:

  • Transaction management

On the trading history interface, translator con see all the transaction have been done with project managers.

 

Notice: translator only can see, but not add, edit, delete those transactions.

Step 4:

  • Manage the general information of the project

On the “General information of the project” interface, translator can see the information of the project, supervise the status and download translation document of the project.
